Wells Fargo is seeking an Executive Specialist to support the Technology Resiliency, Risk and Regulatory Execution (TREX) organization within Technology Management and Resiliency (TMR). Key duties for this executive specialist include calendar management, meeting agenda creation, onboarding and offboarding team members, online meeting coordination, phone support, arranging travel, creating, and approving expense reports, planning on-site and off-site meetings, and managing on-site visitors. This role will partner closely with leaders, other administrative support, teams across TREX and partners to support business operations, resiliency initiatives, strategic execution efforts, and organizational priorities.
In this role, you will:
- Provide a high level of professional support which includes a balance of experienced executive-level administrative work, as well as ongoing ad hoc project and business initiatives such as planning meetings, tracking deliverables, and pulling routine reports.
- Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparation of expense report submissions.
- Support projects and organizational initiatives across the TREX.
- Act as an information source on group and company policies.
- Receive direction from leaders and exercise judgment within defined parameters while developing understanding of the Administrative Support function.
- Collaborate and consult with peers, colleagues, and managers to resolve issues and achieve goals.
- Interact with internal and external customers.
- Assist with onboarding full-time employees and managed resources, including equipment provisioning and securing required system and building access.
- Identify and implement new and better ways to support business operations. Organize knowledge-sharing opportunities and establish common methods and processes to improve team effectiveness and efficiency.
- Plan and coordinate team events across multiple locations to foster engagement, collaboration, and team culture.
- Utilize PowerPoint, Word, Excel, SharePoint, and other tools to help the organization execute effectively.
- Communicate effectively in both written and verbal forms and partner closely with administrative professionals across the enterprise to coordinate schedules, meetings, and work efforts across multiple time zones.
- Research issues; offer resolution and solutions.
- Update documents, reports, team communications, and information posted on SharePoint and other internal websites.
- Act as a proxy for group leaders in business, HR and other administrative systems.
Required Qualifications:
- 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, or education.
Desired Qualifications:
- Experience supporting senior executives and providing calendar and expense management.
- Experience creating content, organization charts, presentations, and executive communications.
- Excellent verbal, written, and interpersonal communication skills.
- Demonstrates a strong sense of urgency through exceptional responsiveness, timely execution of deliverables, and a proactive approach to identifying and addressing business needs.
- Knowledge and understanding of project coordination in a technology environment.
- Advanced Microsoft Office skills (Outlook, Excel, Word, PowerPoint, Teams, and SharePoint).
- Ability to organize, analyze, and present information in a clear and concise manner to support management decision making.
- Knowledge and understanding of conferencing and collaboration technologies.
- Experience supporting senior leaders within a large, complex organization.
- Strong organizational skills with the ability to manage competing priorities and deadlines.

Pay Range
Reflected is the base pay range offered for this position. Pay may vary depending on factors including but not limited to demonstrated examples of prior performance, skills, experience, or work location. Employees may also be eligible for incentive opportunities.
