Summary

The Administrative Support Assistant serves Nursing Service under the direct Supervision of the Chief Nurse of Nursing Operations but may receive direction from other leadership team members of Nursing Service. The position requires excellent relational and communication skills, advanced knowledge of and experience with computers, oral and written communication skills and the ability to work with others. Time management skills and a high level of judgement is necessary.

Duties

Responsible for formulating and administering policies and developing or coordinating directive material implementing these policies. Responsible for day-to-day nursing service operations, supervision, and administration, identifying areas requiring attention and recommending course of action to the Chief Nurse for Nursing Operations. Projects and studies typically require knowledge of the major issues of the service and/or facility goals and objectives, work processes and administrative operations. Exercise judgment in choosing, interpreting, or adapting available guidelines to specific issues. Independently research and analyze complex problems, present written and oral recommendations, while taking into full consideration the wide range of factors and requirements which affect the mission. Adjust workload by defining objectives, priorities, and deadlines, without undue stress. Administers and supports Nursing Operations and Nursing Service assigning and unassigning trainings and pulling reports. Assists in the coordination of administration staff coverage and distribution of workload among available office support staff daily for all PSAs in Nursing Service. Researches and provides feedback to staff who presents problems with Vista clinical applications, contacting appropriate Information Resource Management (IRM) and Health Administration Services staff, information Technology Specialists/HIS's and/or other ADPAC's in other services. Serves as Lead Automated Data Processing Application Coordinator (ADPAC) and possesses above-average technical skills, knowledge of general computer operations and VistA clinical applications; in particular VistA application modules in the packages used by the assigned clinical service staff. Work Schedule: Monday - Friday, 7:30AM - 4PM Position Description Title/PD#: Administrative Support Assistant (OA)/PD09243A Physical Requirements: The work is relatively sedentary. The work may require walking, standing, bending, and carrying light items such as books, papers and files. Traveling off station to various meetings is necessary and working some overtime hours may be necessary. Preferred Experience: Experience in program-specific missions with data-driven outcomes. Ability to manage multiple, concurrent projects and collaborate with various stakeholders. Use software applications (email, spreadsheets, databases). Compose and edit correspondence and meetings. Monitor office supplies and equipment.
