Job Description
The RA Specialist is responsible for day-to-day coordination of U.S. salaried ADA and workplace accommodation cases, with a focus on structured case operations, proactive employee support, and timely, policy-aligned execution. Final accommodation determinations remain with the Accommodations SME, but this role owns the operational “engine” of the process, ensuring cases move efficiently, documentation is complete, and employees and leaders have clear guidance at every step.
You will expand coverage to additional case types (e.g., unpaid leaves that transition into job search), launch proactive outreach linked to disability-related leaves of absence, support global expansion of GM’s accommodations model, and help build training and resources that strengthen employee understanding and participation in the process.
What You’ll Do
- Manage an assigned portfolio of accommodation cases end-to-end for U.S. salaried employees, ensuring each case follows a timely, individualized, and policy-aligned interactive process.
- Serve as the day-to-day point of contact for employees, managers, and HRBPs on assigned cases, providing clear, empathetic explanations of process steps, timelines, and documentation needs.
- Ensure all required forms and documentation (e.g., employee request forms, medical assessment forms, acknowledgement letters) are issued, returned, reviewed, and actioned within required timeframes; track deadlines and follow up proactively.
- Document case notes, decisions, and rationale in the designated case management system (e.g., ServiceNow) in a clear, accurate, and audit-ready manner.
- Partner closely with the Accommodations SME, HR, Legal, Facilities, and other stakeholders to gather information, clarify options, and prepare recommendations for final accommodation determinations.
- Document and maintain U.S. accommodations best practices, including policy-aligned templates, process flows, and standard check-in touchpoints.
- Prepare reference guides and materials that explain how GM manages ADA-type cases in the U.S., supporting regional HR/Legal teams as they adapt the model to local laws and practices.
- Contribute to global reporting by maintaining consistent data on volume, outcomes, cycle times, and key themes once additional regions begin tracking accommodations using a shared framework.
- Participate in continuous improvement efforts, including case reviews, audits, and program health checks, recommending enhancements that improve employee experience, compliance, and operational resilience.
Required Skills and Abilities
- Bachelor’s degree in Human Resources, Industrial/Organizational Psychology, Business, or a related field, or equivalent relevant experience.
- 3+ years of experience in HR, Employee Relations, Leave/Accommodations administration, Benefits, or closely related HR operations role (L6 scope), preferably in a large, complex organization.
- Foundational knowledge of the Americans with Disabilities Act (ADA), FMLA, and related state/local disability and leave frameworks, with demonstrated ability to apply policy or legal guidance in practical, case-specific situations.
- Proven experience managing a high-volume caseload or workflow that requires strong organization, attention to detail, and disciplined follow-through on deadlines and documentation.
- Strong employee-facing communication skills, with the ability to explain complex processes in accessible language and maintain a balanced, empathetic, and neutral tone in sensitive situations.
- Demonstrated ability to work with confidential and sensitive information with high integrity, sound judgment, and discretion.
- Proficiency with HRIS/case management tools (e.g., Workday, ServiceNow) and strong skills in Excel and other MS Office tools for tracking, reporting, and analysis.
- High level of collaboration skills, with the ability to partner effectively across HR, Legal, Medical, Facilities, and business leaders.
What Will Give You a Competitive Edge
- 5+ years of HR/Employee Relations/Accommodations/Leave administration experience, ideally in a global or multi-jurisdictional environment.
- Direct experience coordinating ADA accommodations, return-to-work, or job search/placement processes in a union or highly regulated environment.
- Experience building or delivering training and communications for leaders, employees, or HR audiences on policy, process, or compliance topics.
- Familiarity with GM HR processes, policies, and systems (e.g., AskGM/ServiceNow, Workday, LOA and disability programs) and experience partnering with Global HR Policy, Employee Relations, or Legal stakeholders.
- Demonstrated commitment to accessibility and employee experience, with examples of how you have improved processes or communication for employees with disabilities.
