Job Description

We are seeking a highly skilled, proactive, and professional Administrative Assistant to provide comprehensive support for two senior leaders and their leadership team within the Enterprise Strategy and Administration organization. This role serves as a trusted business partner and plays a critical role in ensuring the efficient operation of day-to-day leadership activities. The successful candidate will be responsible for managing complex schedules, coordinating meetings and events, arranging travel, processing expenses, supporting business initiatives, and providing exceptional administrative partnership in a fast-paced environment. This role requires a high degree of discretion, judgment, and professionalism in handling sensitive and confidential information.

The ideal candidate will possess business acumen, exceptional organizational skills, sound judgment, a track record of anticipating needs, solve problems proactively, and manage multiple priorities in a fast-paced environment. They will be a highly effective administrative professional who consistently delivers exceptional service, operational excellence, and support to senior leadership.

Key Responsibilities

Executive & Administrative Support

  • Provide high-level administrative support to two senior leaders and their leadership team.

  • Manage and safeguard highly sensitive and confidential information, exercising exceptional judgment and discretion while supporting executive decision-making, organizational planning, personnel matters, and business operations.

  • Manage complex calendars, scheduling priorities, and meeting coordination across multiple stakeholders and time zones.

  • Anticipate leadership needs and proactively address scheduling, logistical, and operational challenges.

  • Coordinate and manage meeting logistics, including invitations, agendas, presentations, meeting materials, room reservations, catering, and technology requirements.

  • Coordinate complex domestic and international travel arrangements, including flights, lodging, ground transportation, and detailed itineraries, ensuring a high level of accuracy, seamless execution, and proactive resolution of scheduling or travel-related issues.

  • Prepare and submit expense reports accurately and in a timely manner.

  • Serve as a key point of contact for internal and external stakeholders.

Leadership Team & Business Support

  • Support leadership meetings, business reviews, operating routines, and business planning activities.

  • Coordinate leadership team communications, action item tracking, and follow-up activities to support execution of key priorities.

  • Prepare and distribute presentations, reports, organizational materials, and executive communications.

  • Partner effectively with leaders, business partners, and administrative professionals across the organization to drive coordination and business effectiveness.

  • Support onboarding activities, employee engagement efforts, and organizational initiatives.

Meeting & Event Coordination

  • Plan and coordinate leadership meetings, offsites, workshops, town halls, and employee engagement events.

  • Manage end-to-end event logistics, including facilities, catering, attendee communications, technology support, and meeting materials.

  • Develop and manage event timelines, ensuring that all logistics and deliverables are executed accurately and on schedule.

  • Provide on-site or virtual support before, during, and after meetings and events as needed.

Project & Operational Support

  • Coordinate administrative and operational aspects of key business initiatives and special projects.

  • Track project timelines, deliverables, and action items to support successful execution.

  • Maintain organized records, files, and documentation.

  • Identify opportunities to improve administrative processes and enhance operational effectiveness.

  • Leverage Microsoft 365 applications, AI-enabled tools, collaboration platforms, and emerging technologies to improve productivity, streamline workflows, and enhance operational efficiency.

Required Qualifications

  • High school diploma or equivalent required

  • Proven experience in administrative, executive support, or related professional roles

  • Demonstrated experience supporting senior leaders in a complex corporate environment.

  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and other business productivity tools.

  • Exceptional organizational, planning, and time management skills.

  • Demonstrated written and verbal communication skills.

  • Proven experience prioritizing multiple responsibilities while maintaining a high degree of accuracy and professionalism.

  • Demonstrated attention to detail and commitment to delivering high-quality work.

  • Proven experience exercising sound judgment, maintain confidentiality, and work independently.

  • Experience coordinating executive travel, calendar management, meeting planning, and expense reporting.

Preferred Qualifications

  • Associate's or Bachelor's degree preferred.

  • Experience supporting executive-level leaders and leadership teams.

  • Experience coordinating strategic initiatives, business reviews, leadership meetings, and offsite events.

  • Experience preparing executive presentations, communications, and business materials.

  • Demonstrated project coordination and process improvement experience.

  • Experience supporting leaders within a large corporate or financial services environment.

  • Familiarity with AI-enabled productivity and collaboration tools.

Work Schedule, Flexibility & Location

This role requires a high level of responsiveness and commitment to supporting business priorities and leadership needs. While standard business hours are expected, occasional schedule flexibility may be required, including arriving early, staying later than normal business hours, or adjusting work schedules to support executive meetings, leadership events, travel coordination, business reviews, and other critical business priorities. The successful candidate will maintain a regular in-office presence to support senior leaders, leadership team activities, business meetings, and collaboration across key stakeholder groups.

Location Expectations

This role requires working from a U.S. Bank location three (3) or more days per week.

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role. In addition to salary, U.S. Bank offers a comprehensive benefits package, including incentive and recognition programs, equity stock purchase 401(k) contribution and pension (all benefits are subject to eligibility requirements). Pay Range: $24.18 - $32.21
