Halo is looking for an Import Project Manager who is responsible for coordinating sourcing, import, compliance, and logistics activities for custom promotional product programs from initial request through final delivery. This role serves as a central project owner across Sales, Account Management, Sourcing, Compliance, Logistics, suppliers, testing laboratories, and other internal partners to ensure projects are delivered on time, within requirements, and with appropriate documentation and risk controls.


The ideal candidate is highly organized, detail-oriented, and comfortable operating in a fast-paced, deadline-driven environment. They can manage multiple projects at once, communicate clearly with internal and external partners, anticipate issues, and remain calm, constructive, and solutions-oriented when supporting demanding or time-sensitive sales stakeholders.


Responsibilities

Import Project Management

  • Manage assigned import projects through the full life cycle, including intake, quotation, sourcing, product development, sampling, testing, production, shipment, customs/import coordination, delivery, and closeout.
  • Develop project plans, timelines, milestones, owners, and status updates; actively drive follow-through and escalate risks, delays, and decisions requiring attention.
  • Coordinate multiple concurrent projects with varying levels of complexity, urgency, product requirements, and delivery commitments.
  • Maintain accurate project records, specifications, approvals, testing documentation, production details, and shipment of information in the applicable systems and tools.
  • Identify process gaps and recommend practical improvements that increase visibility, reduce risk, and improve speed and consistency.

Sourcing and Supplier Management

  • Request and compare supplier quotations, confirm assumptions, and communicate pricing, minimum order quantities, tooling, packaging, lead times, and other commercial considerations.
  • Coordinate product specifications, artwork, samples, approvals, revisions, and production readiness with suppliers and internal partners.
  • Build productive working relationships with overseas suppliers, factories, trading companies, and other external partners.
  • Support supplier issue resolution and escalate quality, timing, cost, or service concerns when appropriate.

Compliance and Quality

  • Coordinate product compliance requirements from project intake through delivery, including applicable testing, inspections, certificates, declarations, and supporting documentation.
  • Manage compliance testing workflows with suppliers, testing laboratories, and internal compliance partners; confirm that required testing is completed, current, and aligned to the product and destination requirements.
  • Review test reports and compliance documentation for completeness and accuracy, track open items, and escalate failures, exceptions, or nonconformance before production or shipment whenever possible.
  • Maintain organized compliance records and support audit readiness, documentation requests, corrective actions, and process controls.
  • Partner with Sourcing, Legal, Logistics, and other stakeholders to identify and mitigate import, product, supplier, and delivery risks.

Logistics and Import Coordination

  • Coordinate logistics activities, including production readiness, freight planning, shipping documentation, routing, tracking, delivery timing, and issue resolution.
  • Partner with logistics and freight teams to monitor shipments, manage exceptions, and communicate changes that may affect customer commitments.
  • Support accurate and timely preparation and collection of commercial invoices, packing lists, certificates, bills of lading, and other required import or shipping documents.
  • Monitor key dates such as sample approvals, production completion, freight departure, customs clearance, and final delivery; proactively communicate potential impacts.
  • Develop a working understanding of international shipping, import requirements, freight modes, lead times, and the operational trade-offs that affect cost and service.

Sales and Cross-Functional Partnership

  • Serve as a reliable project partner to Account Executives, Sales, Account Management, and other internal stakeholders from opportunity through delivery.
  • Translate sales and customer requirements into clear sourcing, compliance, product, and logistics actions.
  • Set clear expectations regarding timelines, requirements, trade-offs, and next steps while maintaining a customer-focused and collaborative approach.
  • Communicate effectively with stakeholders who may have urgent, changing, or demanding needs; remain professional, composed, responsive, and appropriately assertive.
  • Provide clear status reporting, surface decisions needed and offer solutions or alternatives when the original plan is at risk.
  • Collaborate with internal teams, including Global Sourcing, Compliance, Logistics, Merchandising, Finance, Operations, and Sales.

Requirements

  • 5+ years of experience in import project management, sourcing, supply chain, logistics, product development, or related area.
  • Demonstrated experience managing sourcing activities, supplier communication, quotations, product specifications, samples, timelines, and production details.
  • Experience coordinating product compliance testing, inspections, certifications, or other quality and compliance documentation.
  • Working experience with international logistics, freight coordination, shipping documentation, and delivery tracking.
  • Demonstrated success managing multiple projects and deadlines in a cross-functional environment.
  • Strong project management, organization, prioritization, and follow-through skills.
  • Excellent written and verbal communication skills, including the ability to communicate clearly with Sales, suppliers, testing laboratories, and internal partners.
  • Strong attention to detail and the ability to identify missing information, inconsistencies, and potential risks.
  • Ability to interpret project requirements and turn them into clear actions, owners, and deadlines.
  • Ability to manage competing priorities and adapt to changing customer, sales, supplier, and delivery needs.
  • Sound judgment, appropriate escalation, and willingness to take ownership of problems through resolution.
  • Proficiency with Microsoft Office and project management, sourcing, or supply chain systems.
  • Ability to work independently while contributing effectively to a collaborative team.

Preferred Experience

  • Experience sourcing packaging, promotional products, branded merchandise, or other custom products.
  • Experience in international trade compliance, customs requirements, product safety, or regulatory documentation.
  • Experience working with testing laboratories, inspection agencies, third-party quality partners, or suppliers for corrective action processes.
  • Experience supporting Sales or Account Management teams in a client-driven, service-oriented environment.
  • Familiarity with Smartsheet, ERP, order management, supplier management, or logistics platforms.

Education

  • Bachelor's degree in supply chain, Logistics, International Business, Business, or a related field required.

Compensation: The estimated base salary range for this position is between $75,000 and $85,000 annually. Please note that this pay range serves as a general guideline and reflects a broad spectrum of labor markets across the US. While it is uncommon for candidates to be hired at or near the top of the range, compensation decisions are influenced by various factors.
