SUMMARY
DThis a rotational role that will perform a hybrid of responsibilities of both the Lead Warehouse Associate and Operations Coordinator jobs and will handle both operational and administrative responsibilities in the Regional Distribution Center (RDC). As a Lead Warehouse Associate, assists the RDC Warehouse Operations Manager with developing the daily outbound workload and resource plan, distributing work assignments to warehouse employees, and working with the Warehouse Operations Manager performing assignments/duties if the workload requires. Works in concert with transportation carriers on the dock to ensure accurate on-time deliveries and scheduled pick-ups. This is a hands-on position and is expected to be a very strong contributor in their specific work area. This position is the first person to coach, assist, and motivate fellow Warehouse Associates and is responsible for communicating with retailers, processing retailer claims, and timekeeping duties. In addition, this role will also perform the responsibilities of Operations Coordinator on a rotational basis for approximately four (4) months/year. As an Operations Coordinator, maintains responsibility for fair and timely determinations in all aspects of Subaru retailer parts claims, as well as the professional handling of all retailer inquiries as related to RDC parts operations. Also provides coordination support for the functions required to effectively implement warehouse and administrative policies and procedures.
MAJOR RESPONSIBILITIES
Lead Warehouse Associate (approximately 8 months/year):
Coordinates Warehouse Associates and warehouse activities.
Trains Warehouse Associates and ensures that they are compliant with established quality and established Regional Distribution Center (RDC) processes and procedures within each warehouse function. Provides ongoing support to newly hired Associates during the six-month period following onboarding.
Assists Warehouse Operations Manager to examine current methods and procedures - identifying best methods and practices, suggesting improvements, and implementing updated processes and procedures within the various warehouse areas.
Works with Warehouse Operations Manager to ensure that all warehouse functions and daily operational objectives are achieved in line with identified timelines and statistical goals.
Assists Warehouse Operations Manager in executing the daily workload plan. Partners with RDC leadership to ensure successful execution and achievement of daily goals and objectives.
Relays direction and work assignments from the Warehouse Operations Manager to Associates.
Assists Warehouse Operations Manager to evaluate workload and designate personnel to work areas on a daily basis.
Assists Warehouse Operations Manager in investigating receiving and other shipping discrepancies and packaging deficiencies.
Assists the Warehouse Leadership Team in resolving employee conflicts.
Ensures that all safety rules and hazmat functions are observed by team members.
Operations Coordinator (approximately 4 months/year):
Processes and maintains retailer parts return claims by providing professional and timely communication and determining credit/debit/cancellation outcomes as necessary.
Provides timely resolution for retailer concerns and inquiries including parts orders and returns, claims, billing, credits, shipment tracing, discrepancies, etc.
Makes mutually beneficial determinations concerning claims exceptions and discrepancies, which requires analytical review and approval or denial based on case circumstances.
Provides professional guidance to retailers and Subaru of America (SOA) field team management to ensure that return procedures are addressed and followed via written and verbal communication. Works alongside warehouse returns lead to ensure that established parts return processes are followed and completed.
ADDITIONAL RESPONSIBILITIES
Additional Lead Warehouse Associate responsibilities:
Assists in the sorting, processing, and distribution of completed orders to the outbound dock.
Operates terminals and printers associated with the outbound department.
Monitors the progress of all current transfers and orders to maintain the workflow.
Monitors all warehouse processes to ensure that the SOPs are followed.
Monitors inventory of all warehouse supplies.
Keeps warehouse clean and organized to ensure safe work conditions.
Helps Warehouse Operations Manager to maintain a daily time and attendance report for payroll.
Ensures that Associates are following proper packaging guidelines and suggests approximate corrections.
Performs all functions of a Warehouse Associate as necessary.
Additional Operations Coordinator responsibilities:
Provides technical support as needed by the RDC Manager, Warehouse Operations Manager, and Warehouse Associates.
Actively participates in the RDC Safety Committee.
Coordinates logistics for new hires as well as contract workers with staffing agencies and/or Human Resources (HR) and Facilities departments.
Coordinates all activities related to the site property management company, as well as with various outside vendors, contractors, and suppliers.
Performs additional support activities to include ordering and maintaining office, janitorial, and shipping supplies; preparing correspondence; answering phones; troubleshooting office equipment issues; scheduling meetings; maintaining local spending account; etc.
REQUIRED SKILLS & PERSONAL QUALIFICATIONS
Analytical skills (as they relate to process improvement).
- Problem-solving / troubleshooting skills.
- Strong verbal and written communication skills in English.
- Demonstrated communication, leadership, motivational, interpersonal, multi-tasking, time management, delegation organization, detail-oriented, and administrative skills.
- Previous warehouse experience.
- Ability to operate all warehouse equipment (material handling equipment, stretch wrap machine, air-controlled staple guns, and any required packing machines).
- Demonstrated ability to understand and operate various Radio Frequency (RF) warehouse devices.
- Proven ability to work under tight deadlines.
- Ability to adapt to a flexible work schedule.
- Ability to cross-functionally collaborate with Regional Distribution Center (RDC) network, field, and corporate colleagues.
- Customer service experience Preferred
- Proficient in Microsoft Suite (Outlook, Excel, Word, PowerPoint).
- Basic working knowledge of all office equipment.
- Proven ability to adjust to a rapidly changing environment and be flexible.
- Strong level of proficiency in Oracle, Qlik, Agile, and Manhattan Associate Supply Chain Intelligence (SCI) reporting.
- Proficient in Manhattan WMS.
EDUCATION & EXPERIENCE REQUIREMENTS: H.S Diploma required with at least 2-4 years of relevant experience.

COMPENSATION: The recruiting base salary range for this full-time position is $55,000 - $65,000 / year. Within the range, individual pay is determined by factors, including job-related skills, experience, and relevant education or training. Additionally, this role is bonus-eligible, with a target bonus percentage that provides an opportunity to earn even more based on your performance. (Internal Job Grade: A2)
