Access TLC Hospice is seeking a highly organized, detail-oriented, and dependable Hospice Admissions & Office Management Coordinator to join our team. This is a multifaceted administrative role supporting hospice admissions, patient care coordination, regulatory compliance, contracts, supplies, data management, and overall office operations.
The ideal candidate is someone who can effectively manage multiple priorities, communicate professionally with patients, families, staff, and external partners, and work independently while supporting the hospice leadership team.
Key Responsibilities
- Assist with hospice patient admissions and coordinate with clinical staff to support smooth transitions into care.
- Facilitate communication between patients, families, clinical staff, and other members of the care team.
- Support the Compliance Officer with maintaining compliance with applicable state and federal healthcare regulations.
- Assist with developing, organizing, and implementing policies and procedures.
- Assist with managing skilled nursing facility (SNF) contracts, ensuring agreements meet hospice requirements and applicable regulations.
- Perform accurate data entry and management of patient and administrative information while maintaining confidentiality.
- Assist with ordering, tracking, and managing hospice supplies and equipment to maintain appropriate inventory levels.
- Work collaboratively with clinical, finance, IT, and administrative departments to support efficient operations and quality patient care.
- Assist with the creation of educational, informational, and promotional materials.
- Recruit, select, orient, and assist in managing members of the hospice administrative support team.
- Maintain effective communication and working relationships across departments.
- Support the Administrator, Executive Director, and Directors with various administrative projects and operational needs.
- Perform other duties and responsibilities as assigned.
Qualifications
- Strong computer skills with the ability to perform accurate data entry and learn current software systems.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Ability to establish and maintain effective working relationships with employees, patients, families, and external partners.
- Professional, friendly, and positive attitude.
- Ability to multitask and prioritize a variety of responsibilities in a fast-paced healthcare environment.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to occasionally lift up to 25 pounds and perform routine office activities such as bending, squatting, twisting, reaching, pushing, and pulling.
Preferred Qualifications
- Knowledge of state and federal healthcare regulations.
- Previous experience in hospice, home health, healthcare administration, or a related field.
- Experience ordering and managing office or medical supplies.
- Experience with contracts or facility relationships, particularly skilled nursing facilities.
- Experience creating educational materials, flyers, brochures, or other promotional materials.
- Previous administrative or supervisory experience.
