Position SummaryĀ Ā 

Under the directionĀ of theĀ MiamiĀ REINĀ DirectorĀ and Regional Executive,Ā you will support our team byĀ managingĀ keyĀ office operations while providing support forĀ ourĀ MiamiĀ Regional Executive.Ā You willĀ leadĀ and support key projects,Ā working withĀ theĀ localĀ team,Ā REIN,Ā the ResearchĀ division,Ā andĀ withĀ other business partners throughout theĀ Atlanta Fed’s footprint.Ā You willĀ need toĀ be adept atĀ coordinating and communicating withĀ businessĀ executives andĀ have an agile and strategic mindset to workĀ innovatively andĀ proactively withinĀ and acrossĀ teams.Ā YouĀ will playĀ an important roleĀ in working with our BoardsĀ of Directors and Advisory Councils.Ā You will contributeĀ to theĀ broader workĀ of the ResearchĀ Division andĀ the Atlanta FedĀ by ensuring that work is alignedĀ withĀ the Bank’s strategic priorities.Ā Ā

KeyĀ ResponsibilitiesĀ 

Ā 

Executive SupportĀ 

  • Provide administrativeĀ supportĀ for the Miami Regional Executive and Director, including travel management, expense reconciliation, calendar management and schedulingĀ internal and external meetings and other events,Ā meeting preparation,Ā and other tasks as needed.Ā Ā 

  • LiaiseĀ with Miami branch operations, cash services, facilities, law enforcement, and cafeteria/catering teams byĀ facilitatingĀ clear communication and coordination among these groups that support REIN’s needsĀ andĀ engageĀ in cross‑department discussions toĀ identifyĀ process improvements, resolve issues, and strengthen collaboration.Ā 

  • CoordinateĀ and supportĀ special projects andĀ selectĀ strategic assignmentsĀ across REINĀ working with REIN business coordinators and analysts.Ā Ā 

Ā 

Outreach and RelationshipĀ ManagementĀ 

  • Support the Secretary of the Miami branchĀ Board ofĀ DirectorsĀ and the Travel and Tourism Advisory CouncilĀ with communications, meeting planning and preparations, and travel arrangements and reimbursements.Ā Ā 

  • Serve as the first point of contactĀ withĀ businessĀ executivesĀ and communityĀ leadersĀ and their assistants acrossĀ South Florida, exercising highly professional communication, thoroughness, and accuracy.Ā Ā 

  • Help toĀ expand the reach and diversity of the team’sĀ businessĀ contact network in South Florida through ongoing researchĀ to help advanceĀ REIN’s intelligence-gatheringĀ responsibilitiesĀ and recruitmentĀ for the branch board of directors and advisory councils.Ā Ā 

  • AssistĀ with contact information management using customer relationship management (CRM) software andĀ maintainĀ a comprehensive view of South Florida contact relationships through reports and other visualizations.Ā Ā

Event ManagementĀ Ā 

  • Arrange and coordinate logistical and administrative detailsĀ forĀ on- and off-site events, meetings, and conferences for the Miami REIN team, including the Miami Branch Board of Directors and Atlanta Fed advisory council(s) meetings.Ā Ā 

  • EngageĀ with local internal partners including MiamiĀ branch operations, law enforcement,Ā and catering staffĀ to host events and meetings at the branch.Ā 

  • CollaborateĀ with external partnersĀ to plan and host off-site events including speeches and roundtables.Ā Ā 

  • Oversee event management functions and external vendors inclusive of catering, facilities,Ā technologyĀ and communication.Ā Ā

EducationĀ 
A Bachelor’sĀ degreeĀ or four years equivalent experience preferred.Ā Ā 
Ā 
ExperienceĀ 
Ideal candidate will have five to eight years of experience. Prior experience coordinating activities with senior executives and their assistants preferred.Ā 
Ā 
Knowledge Areas/Technical SkillsĀ 

  • Excellent executive-level written and verbal communication skillsĀ Ā 

  • StrongĀ project management andĀ organizational skillsĀ 

  • Microsoft Office (Word, Excel, PowerPoint, Outlook)Ā proficiencyĀ 

  • Experience with CRMĀ and AIĀ applicationsĀ preferredĀ Ā

Additional Requirements:Ā Ā 

  • This position will requireĀ atĀ minimum fingerprinting for a criminal background check,Ā educationĀ and employment verification, along with potentialĀ additionalĀ screening requirements due to the information accessed while performing the job. Any offer of employment is contingent upon satisfactory results of any required background screening. These screenings would beĀ initiatedĀ at the time of offer acceptance and can take up to approximately 8 weeks to be completed. The screening covers areas such as education/employment verification, criminal history, credit history, and reaches out to your references and people that know you well.Ā 

  • ForĀ Law EnforcementĀ positions, physical, psychological, drug, stress/EKG, and attending an academy will beĀ required.Ā Ā
